1. Agreement to This Privacy Policy

Thank you for choosing to be part of the ProjectMods community ("ProjectMods", "we", "us", "our").

ProjectMods is operated by a general partnership based in Victoria, Australia. For any privacy questions, or to exercise your privacy rights, you can contact us at [email protected].

We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information when you access or use our websites, applications, services, community features, events, and related offerings (collectively, the "Services").

By accessing or using the Services, you acknowledge that you have read, understood, and agree to this Privacy Policy and our Terms of Service.

If you do not agree, you must discontinue use of the Services immediately.

2. Scope of This Policy

This Privacy Policy applies to all information collected through:

  • The ProjectMods website
  • ProjectMods applications
  • Community features, forums, leaderboards, suggestions, and support
  • Related services, sales, marketing, and events

3. Information We Collect

3.1 Personal Information You Provide

We collect personal information you voluntarily provide when you:

  • Register an account
  • Submit mods, suggestions, comments, screenshots, or other content
  • Contact support
  • Participate in competitions, giveaways, or promotions
  • Subscribe to paid memberships or services
  • Optionally add a birth month and birth day in account settings for our birthday rewards program (see Section 3.7)

This may include:

  • Names and usernames
  • Email addresses
  • Password hashes (never plaintext passwords)
  • Profile information you choose to provide
  • Birth month and birth day (if you opt in to the birthday rewards program — we do not collect your birth year or age)
  • Marketing preferences (if you opt in to marketing emails)

All information you provide must be accurate, complete, and kept up to date.

3.2 Desktop App & Usage Data

When you use the ProjectMods desktop application, we may collect or store:

  • Mods installed and games modded (including counts and related statistics)
  • Session time, longest session, and similar usage metrics used for leaderboards and product features
  • Daily check-in and streak data
  • Referral codes, referral counts, and referral-related activity
  • Mod suggestion submissions, votes, and community participation history
  • Mission progress, rewards, virtual currency balances, and achievement-related data
  • Crash reports, error logs, and diagnostic information
  • Desktop startup attestation and usage-anomaly signals used for security and abuse prevention

3.3 Game Library & Local Device Data

The desktop app may scan your device locally (for example, to detect installed Steam games or game install paths) to enable mod installation. Full game library lists and install paths are processed on your device and are not uploaded to our servers unless a specific feature requires it. We may store aggregated statistics derived from your use of the app (such as how many games you have modded).

3.4 Community & Public Information

Certain information may be visible to other users, including on leaderboards, community features, and suggestion voting. This may include your display name (username), scores, ranks, and other statistics associated with your account. Choose your display name accordingly.

3.5 Payment Information

If you make purchases, we collect the information needed to process them, such as your subscription plan, renewal dates, any promotional code used, and limited billing metadata.

Payments are processed by Stripe. We receive from Stripe a customer ID, a subscription ID, and your payment card's brand and last four digits.

ProjectMods never receives or stores your full payment card number. Stripe processes your payment information under its own privacy policy.

3.7 Birthday Information (Optional)

If you choose to use our birthday rewards feature in your account settings (website or desktop app), we collect and store:

  • Your birth month and birth day only
  • A derived month-day key used to match your account on the correct calendar day
  • A last-gifted year flag so we credit your annual birthday gift at most once per calendar year

We do not ask for, store, or infer your birth year, age, or full date of birth. Providing a birthday is entirely optional and is not required to create an account or use core features of the Services.

If you link Discord, we may also use your birthday information on that day to:

  • Grant a temporary Discord role (typically for 24 hours)
  • Post a birthday shout-out in our Discord community that may @mention your linked Discord account

If you remove your birthday or unlink Discord, future birthday rewards and Discord birthday features will not run until you opt in again.

You can update or remove your birth month and day at any time in account settings, or by contacting [email protected].

3.8 Information Automatically Collected

When you access or use the Services, we automatically collect certain information, including:

  • IP address
  • Browser type and settings
  • Device information and operating system
  • Language preferences
  • Referring URLs
  • Usage data (pages viewed, features used, session timestamps)
  • Error logs and crash diagnostics

Some of this information, such as your IP address, can identify you and may be logged alongside your account when you take certain actions (for example, starting a Stripe checkout, signing in, or other security-sensitive actions) for fraud prevention, payment security, analytics, and service-improvement purposes. We treat IP addresses as personal information.

4. How We Use Your Information

We process personal information based on legitimate business interests, contractual necessity, legal obligations, and/or consent.

We use your information to:

  • Create and manage user accounts
  • Authenticate users and enable logins
  • Provide, operate, and maintain the Services
  • Deliver mods, suggestions, community features, and events
  • Process payments and subscriptions
  • Respond to inquiries and provide support
  • Send transactional emails (account verification, password reset, billing, and service notices) — these are not promotional and relate to your account or purchases
  • Send marketing emails about ProjectMods, new features, offers, and community updates where permitted by law. Where required by law (for example in the EEA, UK, or Switzerland), we send marketing emails only with your consent. You may opt out of marketing emails at any time using the unsubscribe link in those emails or by contacting [email protected]
  • Enable user-to-user communications
  • Request feedback and conduct surveys
  • Administer competitions and promotions
  • Run our optional birthday rewards program, including crediting Cyber Credits (virtual currency) to your account on your birth month and day, applying a temporary Discord role, and posting a community birthday shout-out when Discord is linked (see Section 3.7)
  • Moderate content and enforce policies
  • Improve performance, security, and reliability
  • Comply with legal and regulatory obligations

5. Cookies, Analytics & Tracking Technologies

We use cookies and similar technologies (e.g. pixels, local storage, web beacons) on the website and related services.

5.1 Essential Cookies

Essential cookies and similar storage are required for the Services to function, including:

  • Keeping you signed in
  • Remembering security and session preferences
  • Storing your cookie consent choice

These are always active and do not require consent where the law treats them as strictly necessary.

5.2 Analytics Cookies (Optional)

With your consent where required by law, we use Google Firebase Analytics to understand how the website is used (for example, pages visited and general usage patterns). Analytics cookies are optional.

  • In the EEA, UK, and Switzerland, we ask for your consent before enabling analytics cookies
  • In other regions, analytics may be enabled by default until you reject them
  • You can change your choice at any time using Cookie settings in the website footer (or when the cookie banner is shown)
  • If you reject analytics cookies, we do not enable Firebase Analytics for your browser session

5.3 Your Controls

You can also control cookies through your browser settings. Disabling essential cookies may affect core features such as sign-in.

6. Social Media & Third-Party Integrations

If you link third-party accounts:

  • We may access content as permitted to enable functionality
  • We do not control third-party platforms or their data practices
  • You may disconnect third-party accounts where supported

If you have linked Discord and opted in to birthday information (Section 3.7), we may assign a temporary birthday role and post a public birthday message mentioning your Discord account in our community server on your birth month and day. Discord processes linked-account data under its own privacy policy.

7. Third-Party Websites & Content

The Services may contain links to third-party websites, advertisements, or content.

ProjectMods is not responsible for the privacy, security, or practices of third-party websites or services. Any interaction with third parties is at your own risk.

8. Data Sharing & Disclosure

We may share personal information only when necessary:

8.1 Legal Bases

  • With your consent
  • To perform a contract
  • To comply with legal obligations
  • To protect rights, safety, or prevent fraud
  • For legitimate business interests

8.2 Business Transfers

Information may be shared or transferred during mergers, acquisitions, financing, or asset sales.

8.3 Service Providers

We may share information with vendors who provide:

  • Hosting and infrastructure (Google Firebase — authentication, database, cloud functions, and related services)
  • Payment processing (Stripe)
  • Email delivery and domain email services (Forward Email / SMTP for transactional and service email)
  • Mod and file distribution (Cloudflare R2 and related CDN infrastructure)
  • Analytics (Google Firebase Analytics, where you have consented or where permitted)
  • Customer support tools

Discord and other social platforms linked from our Services have their own privacy policies. We do not receive your Discord account data unless you choose to interact with us through those platforms separately.

All providers are contractually required or otherwise obliged to safeguard your data appropriately.

8.4 Affiliates & Partners

We may share information with affiliates or partners under common control, subject to this Privacy Policy.

9. Data Retention

We retain personal information only as long as necessary to:

  • Provide the Services
  • Fulfil contractual and legal obligations
  • Resolve disputes
  • Enforce agreements

When no longer needed, data is deleted, anonymised, or securely isolated.

10. Data Security

We implement reasonable technical and organisational safeguards, including:

  • Encryption where appropriate
  • Access controls
  • Secure authentication practices
  • Monitoring and auditing

However, no system is completely secure. Use of the Services is at your own risk.

10.1 Data Breach Notification

If a data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority without undue delay (and, where the GDPR applies, within 72 hours where feasible), and we will notify affected users where required by law, including under the Australian Notifiable Data Breaches scheme.

11. International Data Transfers

ProjectMods is operated from Australia, but your personal information may be stored and processed in multiple regions, including:

  • Australia (for example, Google Cloud Firestore in australia-southeast1)
  • The United States (for example, Google Cloud Functions in us-central1, Firebase Authentication, Stripe, Cloudflare, and Forward Email)
  • Other countries where our service providers operate

Where we transfer personal data from the European Economic Area, the United Kingdom, or Switzerland, we rely on recognised safeguards such as the European Commission's Standard Contractual Clauses (and the UK Addendum). For users in Australia, we take reasonable steps to ensure overseas recipients handle your information consistently with the Australian Privacy Principles.

By using the Services, you acknowledge that your information may be transferred to, stored in, and processed outside your country, including in Australia and the United States.

12. Children's Privacy

The Services are intended for users who are at least 13 years old. When you create an account, you must confirm you are 13 or older. We do not knowingly collect personal information from anyone under 13, and if we learn that we have, we will delete it promptly.

Our optional birthday feature collects month and day only, not birth year. We do not use it to verify your age, and you should not use it as a substitute for age verification.

If you are in the European Economic Area, the minimum age to consent to online services varies by country (between 13 and 16). If you are below the digital-consent age where you live, a parent or guardian must provide consent on your behalf before you use the Services.

Parents or guardians who believe a child has provided us with personal information can contact us at [email protected] to have it removed.

13. Your Privacy Rights

Depending on your jurisdiction (including EEA, UK, Switzerland, and California), you may have rights to:

  • Access your personal information
  • Correct or update data
  • Request deletion
  • Restrict or object to processing
  • Request data portability
  • Withdraw consent

Requests may require identity verification. To submit a request, see Section 18.

14. Do-Not-Track Signals

We do not currently respond to Do-Not-Track browser signals, as no uniform standard exists.

15. California Privacy Rights (CCPA)

California residents have additional rights, including:

  • Right to know what personal information is collected
  • Right to request deletion
  • Right to non-discrimination

ProjectMods does not sell personal information.

Authorized agents must provide proof of authority.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our practices, the Services, or legal requirements.

  • Non-material changes (for example, clarifications or minor edits) take effect when we post the updated policy on our website with a new "Last Updated" date.
  • Material changes (changes that meaningfully affect how we collect, use, or share your personal information) will be communicated by at least one of: a prominent notice on the website or in the app, an in-service notification, or email where appropriate. We are not required to email you for every minor update.

Where required by law, we will obtain your consent before applying material changes to how we process your information. Otherwise, your continued use of the Services after the updated policy is posted constitutes your acceptance of the changes, except where applicable law gives you non-waivable rights.

18. Review, Update, or Delete Your Data

You can ask us to access, correct, export, or delete your personal information:

  • Signed-in users: use the "Request my data" tool in your account settings (Account Management) to submit an access or deletion request
  • Birthday data: update or remove your birth month and day directly in Account settings on the website or in the desktop app (or email [email protected])
  • Other requests: email [email protected] and we will verify your identity before acting

Requests are not fulfilled instantly. They are reviewed and handled manually by our team. We verify the identity of everyone who makes a request before acting on it. We aim to respond within one month (EEA/UK), 45 days (California), or 30 days (Australia), and we will let you know if we need more time for a complex request.

Some information may be retained where we are legally required or permitted to keep it (for example, payment and tax records, fraud-prevention logs, or records needed to resolve disputes).
